Privacy Policy
This policy explains how City of Leeds Pipe Band uses personal information when you contact us or use this website.
Last updated: October 25, 2026.
Who is responsible for your information?
City of Leeds Pipe Band, registered charity number 1202490, is responsible for personal information collected through this website and our enquiries.
For privacy questions or requests, email info@leedspipeband.org.uk or write to 12 Montagu Drive, Leeds, LS8 2PD.
Information we collect and why
If you send a joining or lesson enquiry, we collect your name, email address, optional phone number, instrument and any experience details you provide. We use these details to respond and discuss taking part in band activities.
If you send a booking enquiry, we collect your name, email address, optional phone number, event date and location, event type, requested performance, and any optional timing or other details you provide. We use these details to respond, check availability and prepare a booking.
You can also contact us directly by email or through our social media pages. The information you provide in those messages is used to respond to you. Please avoid sending sensitive personal information unless it is necessary.
We use enquiry information to take steps you request before a potential booking or participation, and to pursue our legitimate interests in responding to questions about the band's charitable activities. We do not use enquiry details for unrelated marketing.
How information is stored and how long we keep it
Website enquiries are stored in a database hosted using Microsoft Azure services. Access is restricted to authorised band administrators who need the information to respond to enquiries.
Our retention period is up to 3 months after an enquiry is resolved, unless we need to keep specific information longer to meet a legal obligation or resolve a dispute. The website does not currently delete enquiry records automatically, so an authorised administrator must review and delete records within this period.
Cookies, analytics and third-party services
The site uses essential session and security features to support forms and administration. We use Google Tag Manager to manage site tags, including our cookie consent tool (CookieYes). Analytics or other non-essential tracking should only run after you give consent through the cookie banner.
Some website files are delivered through jsDelivr, and pages with a map use an embedded Google Map. These services may receive technical information such as your IP address when your browser requests their content. Their own privacy policies apply to information they collect.
The joining and booking enquiry forms use Cloudflare Turnstile to help prevent automated spam. When you load or submit one of these forms, Cloudflare may process technical information, including your IP address and browser details, to assess whether the submission is automated. Cloudflare's privacy policy applies to information it collects.
If we introduce Google Analytics or other non-essential tracking, this policy will be updated to describe it before it is enabled.
Your choices and rights
Depending on the circumstances, you may have the right to ask for a copy of your personal information, correct it, request its deletion or restriction, object to its use, or ask for information in a portable format. To make a request, contact us using the details above.
You can also complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint.
Changes to this policy
We may update this policy when our website or information-handling practices change. The date at the top of this page shows when it was last updated.
